Organizations rarely struggle because individual projects are difficult. More often, the real challenge emerges when multiple initiatives compete for the same people, time, budget, and attention.

This hands-on course equips project and operational leaders with practical techniques to prioritize work, manage resource constraints, improve scheduling effectiveness, and navigate competing stakeholder demands across multiple concurrent projects — including within AI, digital transformation, and other fast-moving hybrid initiatives.

Through realistic scenarios, applied exercises, and peer discussion, participants learn how to assess project portfolios, identify and mitigate resource bottlenecks, apply prioritization frameworks including the Theory of Constraints, improve capacity utilization, and adapt traditional project management practices for complex, multi-project environments.

Participants leave with practical tools and strategies they can apply immediately to improve delivery performance, reduce firefighting, and bring greater control to competing organizational priorities.

Highlights

  • Project portfolio assessment: Learn to evaluate a mix of active and proposed projects to make informed prioritization and resourcing decisions.
  • Prioritization frameworks: Apply proven techniques, including Theory of Constraints, to decide what gets done first when everything feels urgent.
  • Capacity and resource management: Identify constrained resources and apply planning techniques that mitigate bottlenecks and increase throughput.
  • Multi-project scheduling: Use scheduling logic and strategic buffers to limit the domino effect of one slipped task cascading into missed commitments elsewhere.
  • Stakeholder and sponsor navigation: Communicate trade-offs, risk, and capacity constraints clearly when sponsors or peers push to add "just one more" urgent request.
  • Receive a certificate from the University of Waterloo: Upon successful completion of this course, you will receive a professional education certificate from the University of Waterloo, along with 14 PMI PDUs and a post-workshop resource kit.

Why enrol?

Gain practical techniques to prioritize, schedule, and deliver multiple concurrent initiatives in resource-constrained environments.

  • Solve the problem single-project training doesn't address: Most project management training assumes one project at a time. This course is built specifically for the reality of managing several initiatives that draw from the same people, budget, and time.
  • Learn a robust methodology, not just a mindset shift: Leave with a practical, tactical playbook — not just principles — for prioritizing, scheduling, and delivering across a multi-project portfolio.
  • Apply the Theory of Constraints to real project scenarios: Identify the true bottlenecks limiting your team's throughput and apply planning techniques that increase capacity without adding headcount.
  • Career advancement: Build the portfolio-level skills that support advancement into Senior Project Manager, Program Manager, PMO Lead, Operations Manager, and Transformation Lead roles.
  • Realistic, scenario-based practice: Work through multi-project situations where priorities, schedules, resources, and stakeholder expectations genuinely compete, including in AI and digital transformation contexts.
  • Facilitated peer discussion: Learn alongside experienced peers managing similar multi-project, shared-resource environments.

Course overview

This two-day workshop combines expert instruction with realistic multi-project scenarios, hands-on exercises, and group discussion. It includes:

  • Scenario-based practice using realistic multi-project, shared-resource situations
  • Progressive hands-on exercises that scale conventional project management techniques to multi-project environments
  • Facilitated group discussion with experienced peers
  • Job-embedded practice opportunities to apply learnings within your own project environment

By the end of this course, you'll have a practical understanding of how to adapt your existing project management tools, techniques, and processes to the real-world complexity of delivering multiple concurrent projects.

What you will learn

  • Assess a mix of active and proposed projects to determine prioritization and next steps
  • Adapt single-project PM practices and methodology to multi-project operational complexity
  • Identify constrained resources and apply planning and scheduling techniques to mitigate bottlenecks and increase capacity
  • Use scheduling logic and strategic buffers to limit cascading, domino-effect delays
  • Apply task prioritization and time management techniques to protect high-priority work
  • Communicate considerations, risk, and trade-offs clearly when new urgent requests compete for capacity
  • Apply the Theory of Constraints to a multi-project portfolio

Who should enrol

This course is designed for project and operational leaders responsible for delivering more than one initiative at a time, including:

  • Project managers and program managers juggling shared teams and competing timelines across several active initiatives.
  • PMO leads and coordinators responsible for portfolio-level prioritization and resourcing decisions.
  • Operations managers and department leaders whose teams are pulled across multiple concurrent projects in addition to day-to-day operations.
  • Functional leaders and schedulers managing shared resource pools across a project mix.

This course is best suited to leaders with hands-on project management experience. Fundamental-level project management training is recommended, as this course builds on — rather than teaches — core PM fundamentals.

Prerequisites

  • Hands-on project management experience is recommended.
  • Fundamental-level project management training is recommended but not required.

FAQ

What is the difference between managing one project and managing multiple projects?
Managing a single project focuses on scope, schedule, and stakeholders for one initiative in isolation. Managing multiple projects adds shared resources, competing priorities, and portfolio-level trade-offs that single-project methods aren't built to handle — which is what this course specifically addresses.

Is this course right for PMO leads and operational leaders, or only project managers?
Both. It's designed for anyone accountable for delivery across more than one initiative at a time, including project managers, program managers, PMO leads, operations managers, department leaders, and functional leaders.

Do I need prior project management training?
Hands-on project management experience is recommended. You'll get the most value if you already have fundamental-level PM training or practical experience running individual projects.

Does this course prepare me for a PMP exam?
No. This is not exam-prep or PMP-foundations training. It focuses on the practical, portfolio-level skills needed to manage multiple concurrent projects and shared resources.

Is this course eligible for government training grants?
Possibly. Provincial employer training grants often cover a portion of tuition when delivered by an approved third-party provider. Contact watspeed@uwaterloo.ca directly to confirm current eligibility for your organization.
